Introduction

These Terms & Policies apply to your use of Eberion Events, including browsing events, viewing specials and promotions, purchasing tickets, buying or renting event-related products and supplies, registering for events, accessing digital tickets, and using any related services offered through the platform.

Eberion Events is operated by Eberion PTY Ltd, a company registered in Botswana and trading as Eberion Events.

By using Eberion Events, creating an account, purchasing a ticket, placing an order, renting event supplies, submitting an event, claiming an event listing, or using any service on the platform, you agree to these Terms & Policies.

If you do not agree with these Terms & Policies, you should not use the platform or complete any purchase, booking, rental, registration, or listing request through Eberion Events.

Our Role as a Platform

Eberion Events is an events, ticketing, event-commerce, and event discovery platform. The platform may be used to list events, promote events, sell tickets, display specials and promotions, sell event merchandise, and sell or rent event-related supplies.

Although Eberion PTY Ltd is registered and based in Botswana, Eberion Events may list, promote, and support events, ticket sales, merchandise sales, and event-related transactions for events taking place in Botswana and other SADC countries.

For some events, Eberion Events acts as a third-party platform contracted by event organizers, promoters, venues, suppliers, or authorized representatives to facilitate ticket sales, merchandise sales, event supply orders, rentals, promotions, or customer access to event-related products and services.

Unless Eberion Events is expressly identified as the event organizer, Eberion Events is not the owner, organizer, promoter, venue operator, performer, supplier, or host of the event. The event organizer remains responsible for the accuracy of event information, event delivery, venue arrangements, permissions, permits, age restrictions, safety requirements, access control, event changes, postponements, cancellations, and the overall customer experience at the event.

Eberion Events may also display certain event listings, specials, promotions, or event-related information for advertising, discovery, promotional, or traffic-generation purposes. Some listings may be shown for information only and may not be ticketed, sold, managed, endorsed, or officially affiliated with Eberion Events.

Where an event listing belongs to an organizer, promoter, venue, supplier, or rights holder, that party may use the “Claim your Event” feature to request control of the listing, update event information, add ticketing or merchandise options, or provide more complete event details. If an event owner or authorized representative does not approve of a listing, they may contact Eberion Events to request correction or removal.

Event Listings & Organizer Responsibility

Event listings on Eberion Events may be created, submitted, claimed, updated, or managed by event organizers, promoters, venues, suppliers, authorized representatives, or Eberion Events.

Event organizers and authorized representatives are responsible for ensuring that event information is accurate, complete, lawful, and up to date. This includes the event name, date, time, venue, location, ticket types, prices, age restrictions, entry requirements, refund rules, performer or speaker details, product details, supply arrangements, and any other information shown on the event page or related listing.

Eberion Events may review, edit, reject, suspend, remove, or request verification for event listings where information appears incomplete, misleading, unauthorized, unlawful, unsafe, duplicated, disputed, or likely to create customer confusion or payment risk.

Some events may be listed for advertising, discovery, promotional, or traffic-generation purposes only. In such cases, Eberion Events may not be the ticket seller, event organizer, promoter, venue, or official representative of the event. Event owners, organizers, promoters, venues, suppliers, or authorized representatives may use the “Claim your Event” feature to request control of a listing, update information, add ticketing or merchandise options, or provide more complete event details.

If an event owner or authorized representative believes an event has been listed incorrectly, without authorization, or in a way they do not approve of, they may contact Eberion Events to request correction, verification, transfer of control, or removal of the listing.

Unless Eberion Events is expressly identified as the event organizer, the event organizer remains responsible for the actual event, including event planning, venue arrangements, permits, compliance, health and safety, crowd management, access control, age restrictions, event changes, postponements, cancellations, and customer experience at the venue.

Tickets & Event Access

Tickets purchased through Eberion Events are issued as digital QR code tickets. Tickets may be delivered by email as well as WhatsApp for certain events and are accessible through the customer’s Eberion Events account under “My Tickets” if the customer is logged in at the time of purchase.

Customers are responsible for providing accurate contact details at checkout, including their email address and phone number where required. Eberion Events is not responsible for delays or failed ticket delivery caused by incorrect customer information.

Each ticket is valid for the event, date, time, ticket type, and access level shown on the ticket or event page. Customers must check the event details before completing payment and before attending the event.

A digital ticket may be presented on a mobile device or printed by the customer. Entry is subject to validation of the QR code, event-specific rules, venue rules, age restrictions, security checks, and any other requirements stated by the organizer or venue.

Each ticket may only be used once unless the event page or organizer expressly states otherwise. Where the same ticket is copied, shared, forwarded, printed multiple times, or used by more than one person, entry will usually be granted only to the first valid scan.

Tickets may be transferred to another person unless the event page, event organizer, or venue rules state otherwise. The person using the ticket must comply with all event and venue requirements. Eberion Events is not responsible for tickets that are lost, copied, shared, resold, transferred, or used without permission after delivery to the purchaser.

Unauthorized commercial resale, fraudulent resale, duplicate ticket distribution, ticket tampering, or resale in breach of event-specific rules is prohibited. Eberion Events may cancel, suspend, or refuse recognition of any ticket suspected of fraud, misuse, duplication, chargeback abuse, unauthorized resale, or breach of these Terms & Policies.

Possession of a ticket does not guarantee entry if the ticket is invalid, already used, cancelled, refunded, suspected of fraud, or if the holder fails to comply with event, organizer, venue, safety, age, or legal requirements.

Event Merchandise, Supplies & Rentals

Eberion Events may offer event-related merchandise, products, equipment, and supplies through the platform. These may include items sold directly by Eberion Events, items sold by event organizers or third-party suppliers, and items made available for rental for use at events.

Product availability, pricing, descriptions, images, rental fees, deposits, delivery options, collection arrangements, and return requirements may vary depending on the item, supplier, event location, customer location, and order type.

Where an item is supplied by a third-party organizer, vendor, or supplier, that party remains responsible for the accuracy of the product description, item condition, availability, fulfilment, and any event-specific arrangements unless Eberion Events expressly states otherwise.

For purchased items, ownership passes to the customer once full payment has been received and the item has been delivered, collected, or otherwise made available according to the stated fulfilment method.

For rented items, the customer receives temporary use of the item for the agreed rental period only. Rented items remain the property of Eberion Events or the relevant supplier. Customers are responsible for returning rented items in good condition, on time, and with all accessories, parts, packaging, cables, cases, manuals, or related materials provided at the time of collection or delivery.

Rental deposits may be required depending on the item, rental value, event location, rental duration, customer profile, delivery or collection arrangement, and supplier requirements. Where a deposit applies, the deposit amount and refund conditions will be shown or communicated before the rental is confirmed.

A rental deposit may be used, in whole or in part, to cover loss, damage, late return, missing parts, cleaning, repair, replacement, failed collection, failed return, or other costs caused by the customer’s use or handling of the rented item. Any remaining refundable balance will be returned after inspection of the item.

Eberion Events may refuse, cancel, or suspend any merchandise, supply, or rental order where stock is unavailable, payment is not completed, customer details cannot be verified, delivery or collection cannot reasonably be completed, or the order presents a legal, safety, fraud, payment, or operational risk.

Payments & Checkout Security

Payments on Eberion Events are processed through a secure Visa-enabled payment gateway. Available payment methods may vary depending on the customer location, event, product, service, currency, and checkout options available at the time of purchase.

Customers must ensure that all payment details, billing details, contact details, and order information provided during checkout are accurate and complete. An order, ticket, booking, rental, or registration is only confirmed once payment has been successfully completed and accepted by the platform or payment provider.

Eberion Events does not store customer card details or banking details. Payment information is handled securely through the payment gateway and relevant payment service providers.

After successful payment, customers may be redirected to a confirmation page and may receive order, ticket, registration, or purchase confirmation by email, WhatsApp where applicable, and/or through their Eberion Events account.

If a payment fails, is declined, is interrupted, or is not confirmed by the payment provider, the related order, ticket, registration, rental, or booking may not be completed. Customers may need to retry payment or contact support if they believe payment was deducted but confirmation was not received.

Eberion Events may cancel, hold, review, or refuse any transaction suspected of fraud, unauthorized card use, chargeback abuse, duplicate payment, incorrect pricing, system error, payment risk, or breach of these Terms & Policies.

Customers should not attempt to bypass the checkout process, manipulate pricing, misuse coupons or promotions, submit false payment information, or use another person’s payment method without authorization.

Delivery & Ticket Fulfilment

Eberion Events delivers tickets digitally. Tickets are issued as QR code tickets and may be delivered by email, WhatsApp for certain events, and/or made available through the customer’s Eberion Events account under “My Tickets” where the customer was logged in at the time of purchase.

Eberion Events does not issue physical tickets by default. Customers may print their digital tickets if they prefer to present a paper copy at the event.

Digital ticket delivery is usually completed after successful payment confirmation. Delivery may be delayed where payment confirmation is delayed, customer details are incorrect, the customer was not logged in at purchase, the event requires additional verification, or there is a technical issue affecting email, WhatsApp, account access, or ticket generation.

Customers are responsible for checking that they have received the correct ticket, order confirmation, event details, date, time, venue, and ticket type. Customers should contact Eberion Events support as soon as possible if they do not receive their ticket or notice any incorrect information.

For event merchandise, event supplies, or rental items, delivery, collection, or fulfilment options may vary depending on the item, supplier, customer location, event location, stock availability, order size, and agreed arrangement. Where collection or delivery applies, the available method and any related requirements will be shown or communicated before fulfilment.

Customers are responsible for being available for delivery or collection, providing accurate contact and location information, and complying with any agreed collection, return, or handover requirements. Additional charges may apply for failed delivery, failed collection, incorrect delivery details, late collection, late return, or changes requested after fulfilment arrangements have been confirmed.

Refunds, Cancellations, Returns & Deposits

Ticket purchases made through Eberion Events are generally final and non-refundable unless the event is officially cancelled or a refund is expressly approved by Eberion Events or the relevant event organizer.

If an event is officially cancelled, affected customers will be notified using the contact details provided at purchase, where reasonably possible. Approved refunds for officially cancelled events will be processed within seven (7) days, subject to payment provider processing times and any verification required.

If an event is postponed or rescheduled, the ticket will usually remain valid for the new date unless Eberion Events or the event organizer confirms that refunds will be offered. Customers should check event updates and communications for the applicable options.

Eberion Events is not responsible for refunds where a customer cannot attend an event, arrives late, is refused entry for failing to meet event or venue requirements, provides incorrect contact details, loses access to their ticket after delivery, or changes their mind after purchase.

Booking fees, service fees, payment processing fees, delivery charges, collection charges, and other administrative charges may be non-refundable unless required by law or expressly confirmed by Eberion Events.

For event merchandise and purchased supplies, returns or exchanges may be considered where an item is defective, incorrect, damaged before delivery, or not as described. Customers must report any issue within a reasonable time after receiving the item and will be required to provide proof of purchase, photos, or other information needed to assess the request.

Items may not be eligible for return where they have been used, damaged after delivery, altered, customized, worn, installed, consumed, or returned incomplete, unless the issue is due to a fault that existed before delivery.

For rental items, any applicable rental deposit will be assessed after the item is returned and inspected. Eberion Events or the relevant supplier may deduct amounts from the deposit for loss, damage, missing parts, late return, cleaning, repair, replacement, failed collection, failed return, or other costs arising from the customer’s handling or use of the rented item.

Any remaining refundable deposit balance will be returned after inspection and reconciliation of the rental item. Refund or deposit return timelines may vary depending on payment provider processing times, bank processing times, supplier confirmation, and the nature of the issue being reviewed.

Customers who believe they are entitled to a refund, return, exchange, or deposit refund should contact Eberion Events support using the contact details provided on the platform.

Customer Support & Contact

Customers may contact Eberion Events for support with tickets, payments, order confirmations, refunds, event updates, merchandise, event supplies, rentals, account access, event listings, or other platform-related enquiries.

Support enquiries should include enough information for Eberion Events to identify the transaction, ticket, event, order, rental, or listing. This may include the customer’s name, email address, phone number, order or payment reference, ticket reference, event name, payment date, and a clear description of the issue.

Eberion Events will make reasonable efforts to respond to customer support enquiries as soon as possible. Response times may vary depending on the nature of the request, event timing, organizer availability, supplier availability, payment provider processing, and the information provided by the customer.

For urgent event access issues, customers should contact support as early as possible before the event begins. Eberion Events may not be able to resolve access, ticket, payment, or account issues immediately at the venue, especially where the issue relates to incorrect customer details, third-party organizer rules, venue access control, or delayed payment confirmation.

Event owners, organizers, promoters, venues, suppliers, or authorized representatives may contact Eberion Events to submit an event, claim an event listing, update event information, request correction or removal of a listing, or discuss ticketing, merchandise, supplies, rentals, or promotional support.

Privacy & Data Protection

Eberion Events collects and processes customer, organizer, supplier, and user information in order to operate the platform, process transactions, issue tickets, manage event access, communicate event updates, support orders and rentals, process refunds, and provide related services.

Personal information may include names, email addresses, phone numbers, WhatsApp numbers, addresses, city or country information, event participation details, ticket purchases, merchandise orders, rental orders, communications, and related transaction information.

Eberion Events may share relevant information with event organizers, venues, suppliers, service providers, payment processors, IT providers, and other parties where necessary to process purchases, fulfil orders, manage event access, provide support, comply with legal requirements, or operate the platform.

Eberion Events does not sell or rent personal data to third parties.

Payment information is handled securely through the relevant payment gateway and payment service providers. Eberion Events does not store customer card details or banking details.

Limitation of Liability

Eberion Events provides a platform for event discovery, ticketing, event-commerce, merchandise, event supplies, rentals, promotions, and related services. While Eberion Events makes reasonable efforts to support a reliable customer experience, the platform is not responsible for matters outside its reasonable control.

Unless Eberion Events is expressly identified as the event organizer, Eberion Events is not responsible for the planning, delivery, quality, safety, legality, timing, venue arrangements, crowd management, access control, performance, speaker attendance, supplier fulfilment, or overall execution of an event.

Eberion Events is not liable for losses, delays, inconvenience, missed events, refused entry, event changes, postponements, cancellations, incorrect event information, organizer actions, venue decisions, supplier failures, customer error, network issues, payment provider issues, bank processing delays, or technical interruptions, except where liability cannot be excluded by law.

Customers are responsible for checking event details, ticket details, order details, delivery arrangements, venue rules, age restrictions, access requirements, and any event-specific terms before completing a purchase and before attending an event.

Eberion Events may temporarily suspend or restrict access to the platform where necessary for maintenance, security, fraud prevention, technical issues, legal compliance, payment risk, or operational reasons.

To the fullest extent permitted by law, Eberion Events will not be liable for indirect, incidental, special, consequential, or punitive damages, including loss of profit, loss of opportunity, loss of enjoyment, loss of data, reputational harm, or other losses arising from use of the platform, events, tickets, products, rentals, promotions, or third-party services.

Nothing in these Terms & Policies limits any rights or remedies that cannot legally be excluded under applicable law.

Governing Law

Eberion Events is operated by Eberion PTY Ltd, a company registered in Botswana and trading as Eberion Events.

These Terms & Policies are governed by the laws of the Republic of Botswana.

Where an event, product, supply, rental, organizer, supplier, venue, customer, or transaction is connected to another SADC country or another jurisdiction, additional local laws, venue rules, event-specific rules, supplier requirements, or regulatory requirements may also apply.

Customers, organizers, promoters, venues, suppliers, and authorized representatives are responsible for complying with any laws, rules, permits, tax obligations, safety requirements, age restrictions, and regulatory requirements applicable to their event, product, supply, rental, listing, purchase, or participation.

Any dispute relating to Eberion Events, these Terms & Policies, or use of the platform should first be raised with Eberion Events support so that the issue can be reviewed and resolved where possible.
